Location: New York, NY and Old Greenwich, CT with the ability to travel as necessary.
 
The Role: We are seeking a highly motivated and experienced Executive Assistant to provide comprehensive support to our CEO and Founder of WorldQuant. The ideal candidate will have exceptional organizational skills, attention to detail and the ability to thrive in a fast-paced and dynamic environment. At WorldQuant, we believe in work/life balance, but we also have a 24/7 mentality, and the Executive Assistant must be able to handle multiple priorities, often with little notice.

As the Executive Assistant, you will be responsible for sophisticated calendar management across multiple time zones, keeping the CEO and Founder well informed of his daily meetings and upcoming commitments, sending reminders prior to each, handling last minute changes to the schedule, arranging complex private travel globally, preparing travel documentation and visas, coordinating with private staff (personal assistants, private security, etc.), and assisting the CEO in all other administrative duties as required.
 
Additionally, you may have the opportunity to travel along with the CEO and other Senior Executives to our international offices or other various locations for business. This may include extended travel periods and may require work outside of regular business hours. Regardless, the EA must work on the CEO’s time zone when he is traveling.
  • Manage CEO’s complex calendar including scheduling, rescheduling and canceling meetings as needed across multiple time zones while maintaining meeting cadences.
  • Coordinate and manage all aspects of CEO’s travel arrangements, including private air travel, ground transportation, accommodations and visas.
  • Communicate effectively and efficiently with the private staff ensuring all needs are met and schedules are aligned.
  • Maintain confidentiality and discretion in all matters pertaining to the CEO and the organization.
  • Develop and maintain a strong understanding of the organization’s goals, priorities and key stakeholders to ensure effective communication and coordination.
  • Conduct research, prepare reports, and provide support for various projects as required.

What You’ll Bring:

  • Bachelor’s degree required
  • Minimum of 6 years’ experience providing executive-level support to a senior executive or CEO in the financial services industry is preferred
  • Experience in sophisticated calendar management across multiple time zones
  • Strong organizational and planning skills, with the ability to manage tasks and priorities effectively
  • Excellent written and verbal communication skills
  • High level of proficiency in Microsoft Office and other relevant software
  • Ability to maintain a high level of confidentiality and discretion
  • Willingness and ability to travel as required
  • Ability to work on CEO’s time zone when he is traveling
  • Demonstrate a 24/7 mentality while maintaining a work/life balance
  • Be a great teammate with a strong willingness to participate and help others

WorldQuant is a total compensation organization where you will be eligible for a base salary, discretionary performance bonus, and benefits. The estimated salary range for this position is $100,000 to $200,000 which is specific to New York and may change in the future. When finalizing an offer we will take into consideration an individual’s experience level and the qualifications they bring to the role to formulate a competitive total compensation package.
